This policy explains what Fare Connect Ltd collects through the current website, why it is used, and the choices and rights available to you.

These documents describe how FareConnect handles enquiries and assists with travel arrangements. Certain supplier-specific terms may also apply when a quotation or booking is confirmed.

1. Who we are and scope

Fare Connect Ltd, trading as FareConnect, is responsible for personal information processed through this website and our enquiry-assistance services. This policy covers website visitors and people who submit flight or transfer enquiries.

2. Information you provide

Flight enquiries may include email, optional phone, WhatsApp consent, origin, destination, travel dates, passenger counts, cabin class, airline preference and date flexibility.

Transfer enquiries may include email, optional phone, WhatsApp consent, airport, journey address, date and time, passenger and luggage counts, vehicle preference, return details, optional flight number and optional special requirements.

3. Technical, security and enquiry records

We generate an enquiry reference and submission timestamp and process limited technical security and anti-abuse information. Our rate-limiting design uses a shortened hash rather than storing a full IP address in the enquiry record.

We do not currently collect passport numbers or images, payment-card details, account passwords or uploaded identity documents through these forms.

4. Why we use information

Enquiry information is not used for marketing without a separate appropriate consent and process.

5. Lawful bases

Depending on the activity, our lawful bases may include steps requested before entering a contract, performance of a contract, legitimate interests in service administration, security and dispute handling, legal obligations, and consent for optional WhatsApp contact. Consent is not treated as the basis for all enquiry processing.

6. Sharing information

Where reasonably necessary, information may be shared with airlines, travel vendors, booking suppliers, licensed transfer operators, transactional email providers, website hosting and database providers, IT and security providers, future payment providers, professional advisers or public authorities where law requires.

Only information reasonably necessary for the relevant purpose should be shared. Supplier and service-provider details may vary and will not be invented here.

7. Transactional email, hosting and database processing

The website uses hosted server-side processing and persistent database storage for enquiries and references. A transactional email provider may process email content when configured. If email delivery is not configured or fails, the stored enquiry and delivery status are retained so the reference is not duplicated.

8. WhatsApp consent

WhatsApp contact is optional, not pre-selected and requires a phone number. Consent relates only to the submitted enquiry and is not marketing consent. You may withdraw it by contacting us.

9. Analytics, attribution and cookies

Necessary functions and operational enquiry processing remain available without analytics. Google Analytics 4 may be used only when a valid measurement ID is configured and you consent. FareConnect does not intentionally send enquiry email, phone, address, journey values, special requirements or EQ references to analytics.

We may store privacy-safe attribution with an enquiry, including landing-page path, referrer hostname and sanitised UTM source, medium and campaign values. This does not include Google client IDs, advertising click identifiers or full referrer query strings.

10. Retention

We retain information only as long as reasonably required for the relevant purpose, dispute handling and legal obligations.

Retention periods may differ for unconverted enquiries, confirmed bookings, payment and invoice records, complaints, security or rate-limit records, consent records and transactional delivery logs. Records are not retained indefinitely by default.

11. Security and international processing

We use server-side validation, access controls, secure secrets, rate limiting and minimal operational logging. No system is completely secure.

If a supplier or service provider processes information outside the UK, appropriate safeguards and transparency information should apply where required by data-protection law.

12. Your rights

Subject to applicable exceptions, you may request access, correction, deletion, restriction, objection, or portability where applicable, and withdraw consent where processing relies on it. Email hello@fareconnect.co.uk with the subject ‘Data Protection Request’. No standard fee is required, although the law permits limited exceptions.

13. Data-protection complaints

Email hello@fareconnect.co.uk with the subject ‘Data Protection Complaint’. We will acknowledge a data-protection complaint within 30 days, investigate appropriately, respond without undue delay, communicate the outcome and explain relevant escalation options.

You may also complain to the UK Information Commissioner’s Office (ICO). We encourage contacting us first where appropriate, but this does not restrict your right to contact the ICO.

14. Children

The service is intended for adults arranging travel. Passenger counts may include children or infants, but children should not submit enquiries independently. We do not knowingly invite children’s details beyond what is operationally necessary.

15. Changes

We may update this policy to reflect legal, operational or technology changes. The current version and last-updated date appear on this page.
